Who we are

Voxtell LLC (“Voxtell”, “we”) provides an AI coworker, “Vee”, that works alongside your team in Slack, Microsoft Teams, and email, connected to your business phone system and, if you choose, other tools your business uses. This policy explains what we process to run that service and the commitments we make about it. If you use the service under a partner’s brand, that partner is your provider and this policy applies to the underlying service they resell.

The service is built for businesses. Your workspace belongs to your company; Vee acts on your company’s behalf.

What we process

Phone-system data. Call records (who called whom, when, how long), voicemails, and, where your business has recording enabled on its own phone system, call recordings, which we transcribe and analyze to produce summaries, alerts, and business insights.

Messages you send Vee. Conversations with Vee in Slack, Microsoft Teams, and email, including files you share with it, so it can answer and act.

Connected-tool data. When an authorized member of your workspace connects a tool (CRM, support desk, calendar, meeting notes, issue tracker, spreadsheets), Vee accesses that tool to answer questions and take the actions you ask for. Connection credentials are encrypted at rest; Vee never asks for keys or passwords in chat.

Workspace and account data. Workspace members and their work emails and phone extensions (to link chat accounts to phone-system users), roles, and settings.

Usage and operations data. Credit usage per action, feature settings, and technical logs we need to keep the service reliable and secure.

How we use it, and how we don't

We process your data for one purpose: providing the service, answering your team, watching for the business risks you asked Vee to watch for, producing the reports, pages, and scheduled work you request, metering usage, and keeping the service secure and reliable.

We do not sell your data. We do not use your data for advertising. We do not use your content to train our own or anyone else’s AI models, and the AI providers we use are configured so that your content is not used to train theirs.

AI processing

Vee is powered by large language models and speech-to-text services operated by the infrastructure providers listed below. When Vee works for you, the relevant content (the question, the transcript, the context needed to produce the output) is sent to those providers over encrypted connections in isolated, per-request API calls, never shared with or visible to other customers, under API terms that prohibit using it to train their models. Providers may retain API data temporarily for security and abuse monitoring under their own API policies; it is not used for training. Some generated work (compiling a web page, running a calculation) executes in isolated, single-use sandboxes with no network access and no stored credentials.

AI output can be wrong. Vee is designed to show its sources and ask before it changes anything in your connected tools, and important decisions should be verified by a person.

Service providers (subprocessors)

We use a small set of infrastructure providers to run the service:

Vercel (hosting, compute, AI gateway, build/execution sandboxes) · Neon (database) · Anthropic, OpenAI, Perplexity (AI models, accessed through the AI gateway) · Deepgram (speech-to-text for call recordings) · Slack and Microsoft (the chat platforms you use Vee in, under their own terms with your company) · Resend (email delivery) · Sentry (error monitoring, technical errors only, never your business content).

We’ll update this list when it changes.

Call recording is your business's responsibility

Vee analyzes recordings that your business’s own phone system makes under settings your business controls. Laws about recording calls (including notice and consent requirements, which vary by state and country) apply to your business as the operator of that phone system. By using the service, you confirm your business records calls lawfully in its jurisdictions.

Security

Your data is hosted in the United States with reputable cloud providers. It’s encrypted in transit (TLS 1.2+) and at rest; connector credentials and stored tokens carry an additional application-level layer (AES-256-GCM). Every workspace’s data is isolated per organization; access to protected pages and the dashboard is re-authorized on every request; actions that write to your tools require human approval by default; and every action Vee takes is recorded in an audit trail your administrators can review. We maintain incident-response processes and will notify affected customers (and authorities, where the law requires) of a breach affecting their data. You’re responsible for security on your side of the line: who is in your chat workspace, who you link, and who holds manager roles.

Retention and deletion

We keep your workspace’s data while the workspace is active so Vee can answer questions about your business history. When your workspace is closed, or we receive a verified deletion request through your provider or the contact below, we delete the workspace’s data from active systems, typically within 30 days, except where a copy is required for legal, accounting, or security purposes. Encrypted backups exist only for business continuity and age out on their normal rotation, after which remaining copies are purged. Derived data (such as transcripts’ search embeddings and indexes) is deleted or disassociated when the underlying data is deleted. Where legally permitted, you can request an export before deletion.

Uninstalling the app from your chat workspace stops new collection immediately, but does not by itself delete previously stored data, deletion happens on workspace closure or a deletion request as above.

Chat platform commitments

Within Slack (and Microsoft Teams equivalently), Vee accesses only what it needs to work: messages in conversations it’s part of (channels it’s invited to, direct messages, threads it participates in), the files you share with it, basic user profiles (to know who’s asking and personalize), and workspace/channel context. We use platform data only to provide and operate the service; we don’t sell it and don’t use it for advertising; and platform APIs are not used to develop, improve, or train generalized AI or machine-learning models, neither ours nor anyone else’s. You can remove Vee or revoke its access anytime in your platform’s app management, which immediately stops new collection.

No advertising or tracking

The product contains no advertising and no third-party marketing or analytics trackers. Our error monitoring captures technical failures only, never your business content.

Other disclosures

We disclose data only to the service providers above, when a law or valid legal process requires it, to protect the rights and safety of our customers or the service, or, if Voxtell is ever part of a merger or acquisition, to a successor bound by this policy. If you use the service from the EEA or UK, you may have additional rights under GDPR/UK GDPR; the service is operated from the United States, and you can exercise those rights through the contact below.

Your rights

Depending on where you are, you may have rights to access, correct, delete, or receive a copy of personal information, and in California, rights under the CCPA (we don’t sell or share personal information as those terms are defined there). Requests can be made through your provider or the contact below; if your employer runs the workspace, we may direct your request to your employer as the controller of its business records.

For team members: your employer connected Vee to its business systems, so Vee processes work communications on your employer’s behalf. You can ask Vee “what do you track about me?” anytime and get a straight answer; private coaching notes are visible to you, not your teammates.

Children

The service is for businesses and is not directed to children under 16.

Changes and contact
